1. Introduction

This Privacy Policy explains how PlantOS ('PlantOS', 'we', 'our' or 'us') collects, uses and protects information when you use our websites, apps and related services (collectively, the 'Service'). PlantOS is a plant collection and management platform that helps collectors, breeders, sellers and brokers log plants, track care and use AI driven tools, while contributing anonymous signals to plant preservation work.

We know you are trusting us with information about your plants and your activity as a grower. Our goal is to be clear about what we collect, how we use it and what control you have over it.

2. Information We Collect

2.1 Account and contact information

When you create or manage an account, we may collect:

  • Name or handle
  • Email address
  • Password or authentication identifiers
  • Organization details if you join or create a team or label
  • Basic profile information such as avatar, region and bio

2.2 Plant and collection data

PlantOS is designed to store detailed information about plants and related activity. Depending on how you use the Service, this may include:

  • Plant identity, nicknames and internal IDs
  • Plant types, species, hybrids and breeder lines
  • Locations and zones (for example cabinet, room, greenhouse)
  • Leaves, flowers, propagations, seeds and related measurements
  • Care logs such as waterings, feeds, flushes, repots and pest events
  • Media you upload such as photos and notes
  • Import records and basic route details where you choose to log them
  • Optional valuation, cost and sale information you decide to record

This data is primarily about plants and your growing activity, not about your life outside the hobby or business context.

2.3 Environment and sensor data

If you connect sensors or external services (for example through Home Assistant or other integrations), we may collect:

  • Temperature, humidity and light readings
  • Reservoir or solution readings such as EC, pH, TDS where available
  • Location or zone bindings for sensors

These readings are used to provide context for plant care, AI suggestions and analytics.

2.4 Subscription and billing information

If you choose a paid plan, our payment processor will collect billing details such as:

  • Billing name and address
  • Payment method details such as card information
  • Transaction history

Payment details are processed by third party payment providers and are not stored in full by us.

2.5 Usage, log and device data

When you use the Service, we may automatically collect:

  • IP address and general approximate location
  • Device type, operating system and browser information
  • Pages viewed, features used and actions taken in the app
  • Log data related to errors, performance and security events

2.6 Public profile and marketplace information

If you choose to enable a public profile or public listings, we will store and display the information you choose to make public, such as:

  • Public handle, avatar, bio and rough region
  • Plants or propagations you mark as visible on your profile
  • Listings for sale or swap and related photos and descriptions

You control whether you have a public profile and which items appear on it.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate and maintain the Service
  • To create and manage your account and organizations
  • To store and display your plant, care and trade records as you expect
  • To provide AI assisted features such as nutrition planning and troubleshooting
  • To personalize your experience based on your plants and environment
  • To send service related messages such as security alerts or changes
  • To respond to support requests and communicate with you
  • To monitor usage, debug issues and improve stability and performance
  • To develop new features and refine existing models and analytics
  • To generate de identified statistics and patterns that support plant care research and preservation efforts
  • To comply with legal obligations and enforce our terms

4. AI, Model Training and Preservation Data

4.1 Use of AI providers such as OpenAI

PlantOS uses third party AI providers such as OpenAI to power language based features including explanations, troubleshooting conversations and summaries. We send only the information that is needed for a given task and we configure these providers so that your data is not used by them to train or improve their general purpose foundation models.

4.2 PlantOS models and internal learning

PlantOS may use your data to improve models, calibrations and analytics that are specific to PlantOS. Wherever practical, this is done using aggregated or de identified data. For example, we may learn how a specific nutrient product usually affects EC and pH at a given dose or how certain care patterns correlate with better outcomes for a species.

When the system detects a possible new 'rule' or pattern, it is subject to human review before it becomes part of general guidance or community facing knowledge.

4.3 Research and preservation work

One of the goals of PlantOS is to support plant preservation and responsible cultivation by turning many small logs into useful signals. For this purpose we may use aggregated, de identified data to create:

  • Species or hybrid level statistics about care and outcomes
  • Timing patterns such as flowering windows and recovery periods
  • Protocol drafts for propagation and handling that can be tested

When we share results or datasets with trusted research or conservation partners, we remove direct personal identifiers and avoid sharing exact coordinates or information that would reasonably identify a specific user or collection.

5. Data Sharing and Disclosure

We do not sell your personal data. We may share information in the following situations:

  • With your direction: When you enable a public profile, create a public listing or share a plant record, you choose which information becomes visible to others.
  • Service providers: We may share information with trusted third party vendors that help us provide the Service, such as hosting providers, databases, analytics providers, payment processors, customer support tools and AI infrastructure. These providers are permitted to use your information only to provide services to us.
  • Research and preservation partners: We may share aggregated, de identified statistics or datasets with researchers, institutions or conservation partners. These data are not intended to identify individual users or collections.
  • Legal requirements: We may disclose information if we believe it is reasonably necessary to comply with applicable law, regulation, legal process or governmental request.
  • Protection of rights and safety: We may disclose information when we believe in good faith that it is necessary to enforce our agreements, protect our rights or safety, or protect users or the public from harm.
  • Business transfers: If we are involved in a merger, acquisition, financing or sale of all or part of our business, your information may be transferred as part of that transaction, subject to continuity of protections consistent with this Policy.

6. Public Profiles and Listings

PlantOS allows you to optionally create public profiles and public listings for plants or propagations.

  • Public features are opt in. Your account and collection are private by default.
  • You control which plants, propagations and listings appear on your public profile.
  • Public pages may be indexed by search engines and visible to anyone with the link.
  • We recommend avoiding sensitive information such as exact home addresses in public fields.

7. Data Security

We use appropriate technical and organizational measures to help protect your information from loss, misuse and unauthorized access. This may include encryption in transit, access controls, logging and backups. However, no system can be completely secure and we cannot guarantee absolute security of your data.

8. Data Retention

We keep your information for as long as your account is active or as needed to provide the Service, meet legal obligations, resolve disputes and enforce our agreements. If you request deletion of your account, we will delete or anonymize your personal information within a reasonable period, subject to data we may need to retain for legal or security reasons and subject to the limits of backups and archives.

9. Your Rights and Choices

Depending on your location and applicable law, you may have some or all of the following rights regarding your personal information:

  • Access: Request confirmation of whether we process your personal data and receive a copy of it.
  • Correction: Request correction of inaccurate or incomplete personal data.
  • Deletion: Request deletion of your personal data, subject to certain exceptions.
  • Restriction: Request restriction of processing in certain circumstances.
  • Portability: Request a copy of certain data in a structured, commonly used and machine readable format.
  • Objection: Object to certain processing, including for direct marketing where applicable.

You can also control many aspects of your data directly in the app, such as which items are public, what you log and whether you continue to use the Service. 10. Children's Privacy

The Service is intended for adults and is not directed at children under the age of 13, or a higher age where required by local law. We do not knowingly collect personal information from children under that age. If you believe that a child has provided us with personal information, please contact us so that we can take appropriate action.

11. International Data Transfers

PlantOS may process and store information in countries that may have data protection laws different from those in your country of residence. Where required, we apply appropriate safeguards to such transfers so that your personal data remains protected in line with applicable law.

12. Changes to This Policy

We may update this Privacy Policy from time to time as our Service and legal requirements evolve. When we make material changes, we will update the 'Last updated' date at the top of this page and may provide additional notice, such as sending an email or displaying a notice in the app. Your continued use of the Service after changes take effect means you accept the revised Policy.
